Tuition Reimbursement Request Process

The Library has a Tuition reimbursement policy. Full-time and part-time staff are eligible to apply for tuition reimbursement.

Eligible employees will receive tuition and mandatory fee reimbursement as follows:

  1. Employees pursuing an undergraduate degree are eligible to receive 100% if full time or 50% if part time of tuition reimbursement up to the IRS limit.

  2. Employees (part-time and full-time) pursuing a Master of Library Science degree, or a master’s degree that is library career related, are eligible for 100% of tuition reimbursement up to the IRS limit.

  3. Employees pursuing a master’s degree in a non-library career related field are eligible to receive 50% if full time or 25% if part-time of tuition reimbursement up to the IRS Limit.

  4. Employees pursuing other library work related educational opportunities such as community classes, language learning classes, etc, may be eligible on a case by case basis, to receive up to 50% for full time or 25% for part time staff up to the IRS limit. 

The policy states to be eligible for tuition reimbursement an employee must be employed for one-year. However, the procedure document states employees can apply prior to reaching one year of employment, but will not receive reimbursement until one year completion of employment and required submitted documentation. Please note that the employee must be employed at the start of the course work.

The Library reimburses over a 24 month period after course completion, this way if an employee leaves library employment whatever we have reimbursed them is theirs and they do not owe the library any reimbursement. We did it this way so we weren't chasing former employees and trying to get them to pay back tuition reimbursement. Here is a sample reimbursement schedule.

When you submit a Request for Tuition Reimbursement, the purpose of the form is for course approval only. It is not a guarantee of payment. All sections of the Tuition Reimbursement, Course Approval Form must be completed and submitted within 30 calendar days of the beginning of the course. Transcripts of completion must be submitted within 30 calendar of the course completion. Failure to do so may result in the tuition reimbursement request being denied.  Submission of documentation will be within the TDX portal.

Tuition reimbursement will occur after coursework has been completed with a passing grade of C or above. Grades and proof of payment must be submitted no later than 60-calendar days after course completion to be considered for reimbursement. Tuition reimbursement is based on availability of funds at the time you submit your required documents requesting reimbursement. Maximum reimbursement limit is $5,250 (for calendar year 2020) per year. Annual maximum limit is based on when you receive payment in a calendar year.
